Start from the task, never from the tool
Most AI projects that go nowhere started with a tool somebody wanted to try, then went looking for a use. The reverse order works better: list what your team redoes identically every week, and see what could be taken off them.
Answering the same question about opening hours thirty times, retyping orders that arrived by message, writing the same follow-up: those dull, repetitive tasks are where automation pays immediately.
Where the gain is real
Four uses recur constantly in small organisations, and none needs a technical team.
- Answering recurring questions — hours, prices, availability, address — around the clock, nights and weekends included.
- Qualifying an enquiry before it reaches your team, so human time goes to serious prospects.
- Drafting — quotes, replies, product pages, posts — for a human to review and correct.
- Structuring what arrives messy: turning orders received by message into usable records.
The traps
Three mistakes cost more than the time saved, and all three are preventable at design time.
- Letting a machine talk to customers with no safety net. An assistant has to be able to say "let me hand you over" rather than invent an answer.
- Handing sensitive data to a service without checking what it does with it. Customer details, contracts, health data: the question comes before, not after.
- Automating a broken process. A badly defined task, automated, is still badly defined — just faster and at greater scale.
Measure before you scale
Pick one task, measure what it costs today, automate it, then measure again after a month. It is the only way to know whether the gain is real, and it is what tells you whether going further is worth it.
An automation saving two hours a week in a small organisation is an excellent result. An ambitious project that never leaves the pilot stage is not.
